Job Description

This is a remote position.

Job Brief


We are looking for an organized and efficient Paralegal to support a team of managers, lawyers and internal staff through various tasks. The ideal candidate is experienced in handling a wide range of administrative and director support-related tasks and can work independently with minimal supervision. You should be able to rely on experience and judgment to plan and accomplish tasks accurately and in a timely manner. Aside from your skills and experience, we are looking for someone with well-developed interpersonal skills and excellent communication skills.


Requirements


  • 3 years+ experience as Legal Assistant, an Administrative Assistant, Virtual Assistant or Office Admin Assistant


  • Experience working with lawyers is a plus

  • Knowledge of office management systems and procedures

  • Experience in using CRM and email platforms

  • Experience in travel arrangements

  • Experience in calendar management and arranging executing meetings


  • Experience in email management

  • Proficient with Microsoft Office Suite or related software

  • Excellent time management skills and the ability to prioritize work

  • Keen eye for detail and problem-solving skills

  • Excellent written and verbal communication skills


  • Strong organizational skills with the ability to multi-task

  • Strong ability to follow instruction

  • Highly adaptable, has a sense of urgency and ability to do repetitive tasks



Responsibilities


  • Carries out administrative duties, maintains the office documentation and/or record-keeping system for the managers/ lawyers and ensures efficient documentation for storage and retrieval.

  • Email and calendar management, organize and schedule appointments, plan meetings and take detailed minutes

  • Booking business travel and accommodation for the executive team as required

  • Identifies scheduling conflicts and provides regular scheduling updates to the team during weekly team meetings.

  • Assist in the preparation of regularly scheduled events


  • Liaise between executive and managers to handle requests and queries

  • Utilizing CRM platforms for record keeping and keeping file record organized including data clean up and CRM data management

  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results

  • Supports team by performing tasks related to organization and effective communication.

  • Contributes to team effort by accomplishing related results as needed.


  • Performs other duties that may be assigned.
